Customer Rights & Responsibilities  

This information is being provided to help consumers understand what you can expect from the moving company you choose in terms of procedures, services and limitations to service and liability. It also outlines those areas for which you have some responsibility. It is our belief at Jay’s Moving and Storage that “an informed consumer is a wise consumer”. By better understanding the process, you increase the potential for total customer satisfaction.


Pre-Move Survey

A local moving consultant will arrange a time with you to complete a visual survey of your home and household possessions to be moved. During this survey, the local moving consultant will discuss with you certain key subjects that have a direct effect upon the successful outcome of the move to your new home. They include:

  • Locations for all pickups and deliveries.
  • Delivery and Unpacking dates (unpacking provided on carrier packed goods). See unpacking section for full explanation of this aspect of the movers service.
  • Special Care Items - Identify special care items such as valuable chandeliers, marble table tops, grand or baby grand pianos, black lacquer* or other delicate items to your moving consultant. Your moving consultant will arrange for specially designed containers or crating and may suggest a third-party specialist to prepare these items before they are moved. Please see notes relating to lacquered items in the dangerous goods section.

Mechanical / Electrical Items

It is your responsibility to make preparation arrangements before transit of items of a mechanical nature. These items include but are not limited to clocks, stereos, televisions, appliances, computers and any items which have mechanically moving parts. If these items are not properly prepared, damage can occur through no fault of your mover. It is recommended that a third-party specialist be contracted to perform the required pre-move servicing. Your local representative can make the servicing arrangements on your behalf, at your request. The original manufacturer’s cartons can be used if you still have them in your possession.

* Special Note: upon delivery at destination, please note that electronic items, especially those with circuit boards including microwave oven, TV, stereo, computer, etc. should not be turned on for 48 hours. This warning excludes major appliances such as refrigerator, stove, etc.


Items which are not to be moved

Identify items that are not to be moved, to the local representative. These would be items that you are going to give to neighbours or family members or that you are going to sell at a garage sale. It is your responsibility to advise your consultant of any additions or changes in the effects you originally planned to move prior to your moving day.

Special Note: the addition or deletion of items will affect the final cost of your long distance move as charges are calculated on actual weight shipped.


Alcoholic Beverages

While it is possible to move alcoholic beverages on the moving van, this is generally not recommended. The interior of a moving van is subject to extreme temperatures during either cold or hot weather. As a result it is possible for damage to occur to furniture and other items should alcoholic beverages break or explode during transport. We would highly recommend that you not ship items of this nature with your household goods. Your moving consultant can arrange for a third party service for wine and spirit collections.


Dangerous Goods

Household goods carriers are prohibited by law from transporting the following household items:

  • Explosives: Ammunition, flares, fireworks, blasting caps, etc.
  • Flammables: Matches, lighter fluid, barbecue starter, charcoal, gas, paint, paint thinners, glues, resins, kerosene, naphtha, alcohol lamp oil or oily rags.
  • Gases: Any gas under pressure, propane tanks, oxygen, helium, aerosol cans and butane lighters. Oxidizers, Corrosives and Poison
  • Firearms: We are not permitted to pack or transport revolvers or restricted weapons of any kind unless you have written permission from the R.C.M.P. All permissible firearms must be unloaded, with the firing pin dismantled by you prior to being handled by moving personnel.
  • Bleach, disinfectants, pool chemicals, hair bleach, chlorine in any form, corrosive cleaners, acids, batteries, preservatives and photographic chemicals.

Shipping Lacquered Furniture During Cold Weather

Jay’s Moving and Storage wants to ensure that our customers are aware of the risk involved when shipping furniture and other items that have a polyester lacquer finish at certain times of the year.

This type of finish is used by manufacturers for its outstanding shine and buffability. Unfortunately, at temperatures below 23 degrees Fahrenheit, the polyester loses a portion of its elasticity (i.e. it becomes brittle and scratches can form). The colder the temperature or the longer the item is exposed or the more sudden the temperature change, the more likely this damage is to occur. Transporting such items during extremely cold weather is very risky and there is nothing a mover can do to prevent this damage from occurring. Therefore, these items are excluded from carrier liability. We would ask that customers carefully evaluate the risk before including these types of items in their household goods shipment during the winter months. An alternate solution would be to have your Jay's agent store these items in their climactically controlled warehouse for furtherance during warmer weather.

If you do choose to ship these items during the winter months your Jay's agent will ask that you sign a waiver, stipulating that you have been properly informed about the risks and the exclusion from carrier liability.


Preparing Motorized Equipment / Vehicles

Please note that it is your responsibility to drain all gas/oil from lawn mowers, snow blowers, boat motors, etc. To ship with oil present may result in damage and limit the carriers’ liability for same. Note: If shipping your auto on the van — leave approximately 1/4 tank of gas in vehicle.


Packing

You may decide to pack some of your possessions yourself. We suggest that you limit your packing to non-breakable items such as linens, books, etc. Ask your Moving Consultant for a copy of the Jay's Packing Guide which will provide you with helpful advice and professional tips for self packing. Use appropriate size cartons for items. (i.e. do not pack books in a large carton, as weight will be excessive.)

Please remember that if you do your own packing, household goods carriers may not assume responsibility for the condition of the contents since we have no control over how they have been packed. Please ensure that all owner packed cartons are properly closed and sealed. Do not overpack cartons.

You should make sure that all CDs are removed from player prior to packing. As well, it is a good idea to place all remote controls together so that they can be shipped in your set-up carton. If you prefer to take these with you, simply inform your packer.

Your packers will not remove items which are affixed to the wall or ceiling. It is your responsibility to take down mirrors, pictures, drapery rods, etc. Upon completion of packing responsibilities, the packing team will complete a final survey to ensure that the service was completed to your satisfaction. The team supervisor will also ask you to sign the Origin Service Report (Packing Slip), which indicates the number of containers packed. A copy of this form is then given to you as confirmation of packing service completion.


Loading and Delivery

On the day agreed upon during the Pre-Move Survey, your moving van and crew will arrive to load your personal effects for transport. Your driver is the moving crew supervisor and he will introduce himself and your crew prior to preparing your home for the relocation. He will survey your home again to verify moving requirements and prepare the crew for proper load planning and organization.

You should take a final walk-thru of your home with your driver to ensure that everything is in order. Your driver will then ask you to sign the Uniform Household Goods Bill of Lading, releasing your household goods and personal effects into the possession of the mover.


Uniform Household Goods Bill of Lading

The bill of lading is the official contract between you and the mover to transport your furniture and effects to your new home. The mover is required by law to prepare a bill of lading for every shipment it transports.

It is your responsibility to read the bill of lading before you sign it. Please review moving dates to ensure that the bill of lading states what you agreed upon prior to the move. Prior to loading, your driver will ask you to sign two areas. The first area represents confirmation of carrier liability for the move. Carrier liability is defined under the terms and conditions on the reverse side of the bill of lading. You will be required to sign for the valuation requested by you. The second area is for the actual release of the goods into the mover’s care. The second area also acts as your declaration that no dangerous goods are present in the shipment.

Upon signing, the driver will give you your copy of the bill of lading, to act as a receipt for your possessions. As part of the official moving contract between you and the mover, the mover must complete a detailed inventory and condition of furniture and other items being moved to your new home. It is important for you to inspect each room with your driver when loading is complete to ensure that all items which are to be moved are in fact on the truck. Items left behind are your responsibility.


Inventory

Prior to loading your possessions on the van, the driver inventories your shipment listing any damage or unusual wear. The purpose of this is to make a record of the condition of each item to be moved. After completing the inventory, the driver will sign each page and ask you to sign each page. It is important before signing that you make sure that the inventory lists every article to be moved and that entries regarding the conditions of each article are correct. You have the right to note any difference of opinion with regard to the condition description. If an item is missing or damaged upon delivery, your ability to recover from the mover for loss or damage may depend on the notations made.

After signing, the driver will give you a copy of each inventory page. This should be attached to your copy of the bill of lading. Together the documents form your receipt for the furniture and effects being moved.


Vehicle Inventory

A separate vehicle inspection report will be completed for any automobile which is being transported on the van. Any prior damage will be clearly noted on the sketch of the vehicle. We recommend that you review this document carefully prior to signing it. It is your responsibility to ensure that the condition report is accurate at origin and that you note any new damage at destination before signing off on the form at time of delivery. It should be noted that no items should be packed inside any vehicle as movement during transport could cause unnecessary damage to its interior.

Similarly, a vehicle inspection report will be completed for recreational vehicles such as motorcycles, snowmobiles, all-terrain vehicles (ATV) and other similar motorized vehicles. Again it is your responsibility to ensure its accuracy.

Note: Please wash your vehicle prior to shipment.

During inventory procedures, the moving crew will be preparing your furniture and effects prior to being loaded on the van. The crew will complete disassembly of furniture and effects that were not previously disassembled and packed by the packing crew. Articles such as beds, wall units, etc., small disassembled items and screws will be placed in the “Set-Up” carton to ease reassembly in your new home.

Your possessions will be protected in the home prior to movement to the van with furniture pads. At all times the loading crew will ensure that the best protective method is used to prevent damage to your home and the articles being moved.

It is your responsibility to have items such as metal or wood storage shelves, swing sets, exercise equipment, waterbeds and pool tables disassembled. If you wish your mover to handle this aspect of your move, the service can be arranged for a reasonable charge.

Upon completion of the crew’s loading responsibilities, they will complete a final survey of the home to ensure that everything that was scheduled to be moved is loaded on the van. The driver will also request one last verification of your new home’s address and a telephone number of where you can be contacted when he arrives at destination.

Unless credit has been prearranged by your employer, it is imperative that you call your origin agent, prior to your delivery date, in order to determine your final moving costs which are payable at destination.

Within twenty-four hours prior to the delivery of the furniture and effects to your new home, the driver will call to verify the date and time of delivery. He will reconfirm the amount of the COD charges unless prior credit authorization had been made for invoicing to your employer. COD charges are payable by cash, certified cheque or money order. Arrangements can also be made to charge to your VISA or Mastercard. Ask your moving consultant for information on this option prior to moving day.

At the time of delivery, the driver, again being the moving crew supervisor will introduce the delivery crew and complete a visual survey. This visual survey is to provide the crew with an indication of where your possessions are to be placed in your new home. Your driver is required to collect payment from you (if your move is on a COD basis) prior to commencing the unloading of your furniture.

At the time your shipment is delivered, it is your responsibility to check the articles delivered against the items listed on your inventory. The driver will place a small numbered tag on each article as the inventory is prepared. The number will correspond to the numbered article on the inventory form and facilitate the checking of the articles as they are carried into your new home. The driver may provide you with a “Bingo” check off sheet to help ease check off procedures.

Check each article for damage that did not exist when the shipment was originally listed at your old home. If new damage is discovered, make a record of it in the “Delivery Exceptions” section of the inventory form. Be sure to call the damage to the attention of the driver and request that a record of the damage be made on the Jay's copy of the inventory, which is in the possession of the driver until final delivery is performed.

After your possessions are unloaded into your new home, the driver will request that you sign the Jay's copy of the inventory to show that you received the articles listed. When you sign the inventory at the time of unloading, you are giving the driver a receipt for your furniture and effects.

Do not remove the inventory tags until you are certain there is no damage to the item. It is important to note the correct tag number on your Statement of Claim form. As part of delivery responsibilities, the moving crew will reassemble all articles disassembled by the moving crew at your old home, such as beds and wall units. Packed articles will be reassembled by the unpacking crew. We recommend that unpacking services generally be scheduled for the day after delivery. You should discuss your options with your moving consultant in advance of your move.

As part of delivery responsibilities, the moving crew will unpack your mattress cartons. Prior to leaving your new home, the moving crew will complete a final survey in your company to ensure that all services have been completed to your satisfaction.


Unpacking Service

  • Standard Unpack - Any carton packed for you by your Jay's agent will be unpacked in your new home at your request. Individual items will be unwrapped and placed on tables or counters. All packing materials and refuse will be taken away for disposal on unpacking day. Customers can choose to have all, some or none of the unpacking completed.
  • Valet Service - Should you wish to have your belongings put away in cupboards, drawers and closets, a Valet Service can be arranged through your Jay's agent at destination at a reasonable cost. Be sure to discuss this request with your moving consultant prior to your move.
  • Self Unpack - You may wish to do some of your own unpacking. If so, you are then responsible for the disposal of the packing materials and reassembly of packed items. Many customers retain cartons for future moves for themselves or friends. If you wish your destination agent can send someone to your residence to pick up cartons for a nominal charge. It is best to discuss this request with them at the time of delivery.
We highly recommend you permit the carrier to unpack at least the breakable items so that any damage can be noted at that time. If you unpack the cartons, the mover may not accept liability for any damage that has occurred in transit unless there is visible damage to the exterior of the carton which was noted on the inventory form at time of delivery.


Claim Settlement for Damage or Loss

If you experience a claim, immediate contact with your local Jay's agent at destination is essential. Your local agent’s name, address and telephone number are indicated on the bill of lading under an area named destination agent.

You will be asked to complete a statement of claim form which will assist Jay's with the repair and settlement action. The claim form must be submitted and received by the agent at destination, no later than 60 days after you receive your shipment.
